Zoom meeting capture

Bring your recorded Zoom coaching calls into Launched. Transcripts, summaries and suggested client notes wait for your review, and nothing reaches a client’s record until you approve it.

Last updated: September 30, 2026

What it does

The Launched Meeting Intelligence app connects the Zoom account you host coaching calls from to your Launched workspace. After you record a call to the Zoom cloud, Launched:

  • brings in the transcript, and Zoom’s AI Companion summary if you use it;
  • works out which of your clients the call was with;
  • drafts a summary, action items and suggested client notes for you to review.

Launched never joins your calls, and it never downloads or stores your audio or video.

Before you start

  • A Launched coach account.
  • A paid Zoom plan (Pro or higher). Cloud recording isn’t available on free Zoom accounts.
  • In the Zoom web portal, open Settings → Recording, turn on Cloud recording, and select Create audio transcript. Meeting summary with AI Companion is optional.
  • Tell participants before you record, and get any consent you need where you and your clients live.

Connect Zoom

  1. Sign in to Launched and go to Settings → Integrations.
  2. Under Zoom meeting capture, tick the box confirming that you’ll notify participants and get any consent needed before recording or transcribing sessions.
  3. Click Connect Zoom. Sign in to the Zoom account you host your coaching calls from, review the permissions, and click Allow.
  4. You return to Launched, and the card shows Zoom is connected with the Zoom email you connected.

Starting from the app’s Zoom Marketplace page? Visit Site to Add brings you to the same Settings page. Each Zoom user can be connected to one Launched workspace.

Using it

Record the call

Host the call in Zoom and choose Record → Record to the Cloud. Only calls you record to the cloud after connecting are brought in. Earlier recordings aren’t imported.

Find it in Launched

When Zoom finishes processing the recording, the call appears under Work → Meetings. Longer calls take Zoom longer to process.

Matching the call to a client

Launched first looks for a Launched booking at that time whose session type uses your Zoom meeting link as its location. Next it tries a participant’s exact email address, when Zoom shares one. If it can’t be certain, the call waits under Quarantined session notes on the Meetings page. Choose Review transcript, pick the client, and select Attribute to client. Launched never guesses from a display name.

Review and approve

Each call has a Recording & transcript section with Open recording in Zoom and Read transcript. Launched drafts a summary and suggested client notes. Nothing is added to a client’s record until you approve it. If a transcript is empty or too short, Launched doesn’t invent a summary.

What Launched can access

Every permission is read-only. Launched can’t create, change or delete anything in your Zoom account.

  • Your Zoom profile — to know which Zoom account you connected and send your calls to your workspace.
  • Your cloud recordings and their files — to find each call’s transcript and the link to the recording in Zoom.
  • Your meeting transcripts — to bring the transcript into Launched.
  • Your meeting summaries — to use Zoom AI Companion’s summary when you have it turned on.
  • Past meeting participants — to match the call to the right client by email address.

Your data

What Launched keeps

  • The Zoom meeting ID, time and topic.
  • A link to the recording’s page in Zoom, without any access tokens.
  • The transcript, summary and action items.
  • Participant email addresses that Zoom provides, used only to match the call to a client.
  • The client notes you approve.

What Launched never keeps

Your audio or video files, recording download links, or meeting passcodes. Your recordings stay in your Zoom account, under your Zoom retention settings.

How it’s protected

Everything is private to your workspace, sent over encrypted connections, and encrypted at rest. Your Zoom access tokens are encrypted again with AES-256 before they’re stored. To draft summaries and suggested notes, Launched sends the transcript to OpenAI when Zoom hasn’t provided a summary. We don’t use your recordings, transcripts or notes to train AI models. See our Privacy Policy.

Disconnect or remove the app

From Launched

Go to Settings → Integrations and click Disconnect under Zoom meeting capture. Launched revokes its access with Zoom, deletes its stored Zoom access tokens, and stops bringing in new calls.

From Zoom

In the Zoom App Marketplace, open Manage → Added Apps, find Launched Meeting Intelligence, and click Remove. Zoom notifies Launched, which deletes its stored Zoom access tokens and shows Zoom as disconnected.

What happens to your data

  • New calls stop coming in right away.
  • Your recordings stay in your Zoom account. Launched never had a copy of your audio or video.
  • Transcripts, summaries and notes already in Launched stay in your workspace, so your client history isn’t lost. To have them deleted, email privacy@belaunched.app from your account email.
  • To reconnect later, click Connect Zoom again.

Troubleshooting

  • “Zoom was not connected” after you click Allow. Start again from Settings → Integrations. Each connection link works once and expires after 10 minutes, and a newer attempt replaces an older one, so finish in the most recent Zoom window. If it keeps happening, that Zoom user may already be connected to another Launched workspace.
  • A call didn’t appear. Check that you hosted it, recorded to the cloud rather than your computer, had Create audio transcript turned on, and connected Zoom before the call. Give Zoom time to finish processing longer calls.
  • A call isn’t matched to a client. Open Quarantined session notes on the Meetings page and attribute it. Booking sessions through Launched with your Zoom link as the location, and asking clients to join Zoom with the email you have for them, lets Launched match calls on its own.
  • No summary. Launched only summarizes what’s in the transcript. If the transcript is empty or very short, it leaves the summary blank rather than guessing.
